The project schedule is represented by horizontal bars of varying lengths in the Gantt chart, one type of stacked bar chart, that may contain selected time frames, intensities, and beginning and ending dates for each task.

Henry Gantt, an American mechanical engineer, invented the Gantt chart.

However, this article will teach us how to create a Gantt chart in Microsoft Excel using a bar chart.

Components of Gantt Chart

Gnatt charts are specially used for project management and scheduling. where the time span for every project or task is represented along the x-axis. And the names of every project are presented along the Y-axis.

But elements of the Gantt chart may vary according to the purposes they are aimed at.

Preparing data for the Gantt chart

Suppose you have 5 projects with different time spans to complete, as shown below.

To import the data, the chart cell in the upper left corner of the data (the red-marked cell) must be left empty.

Steps to Create Gantt Chart

Step 01: Firstly, select the data range B2:D8. Then select the Insert tab.

Step 02: From the chart group, click on the bar chart and select the 2D horizontal bar chart.

Step 03: Now, double-click on the project name on the Y-axis. The “Format Axis” tab will appear on the right side of your monitor.

Step 04: From the “Axis Options” menu, click on “Categories reverse in order.

Step 05: Now, right-click on the blue bar section. Then click on “Format Data Series.”

Step 06: Then the “Format Chart Area” tab will appear on the right side of the monitor. Go to the “Fill and Line” icon and select the “No Fill” option.

The output is:

Step 07: Now we want to move the Y-axis at the beginning of the duration. This will make the Gantt chart better. As Excel counts dates and times from January 1900. Using January 1900 as a zero point, the start date of our project, 2/2/2023, will be 44959.

Step 7.1: To find the numerical value of the start date( 2/2/2023)  in excel, Select the cell C3

Step 7.2: From the “Home” tab, go to the “Number Format” option and select “General.”

Step 7.3: Again, right-click on the dates on the X-axis. Then click on Format Axis.

Step 7.4: From the Format Axis tab, click on the Axis Option Icon. Then set the minimum bound at 44959.0
